This Privacy Policy explains how Gem League collects, uses and stores information when you interact with the Gem League Discord bot.
1. Information we may collect
Depending on the features you use, the bot may process:
- Discord user IDs, usernames and display names.

The bot does not require your Discord password and cannot access it. Please do not submit passwords, payment information or other sensitive personal information through bot commands.

Information may be received directly from your commands and forms, supplied by an authorised team representative or league administrator, or provided by Discord when the bot processes an interaction.

Information is used to:
- Operate and administer Gem League.
- Register teams, players and authorised representatives.
- Manage rosters, transfers, matches, roles and league records.
- Respond to commands and provide requested bot functions.
- Prevent duplicate registrations, fraud, abuse and unauthorised access.
- Troubleshoot errors and maintain the security of the service.
- Enforce Gem League rules and resolve disputes.
4. Storage and security
Bot and league information is stored in Gem League's secured server database. Reasonable technical and organisational measures are used to protect the information. However, no online system can guarantee absolute security.

Information is accessible only to authorised Gem League administrators and service providers where required to operate the bot. It may also be disclosed when required by law, to protect users or the service, or to investigate misuse.
Gem League does not sell personal information. League-related details such as team names, player names, countries, rosters and match records may be displayed within Gem League channels or services as part of normal competition operations.
6. Data retention
Information is retained for as long as reasonably necessary to operate the league, maintain historical competition records, resolve disputes, enforce league rules and meet legal or security obligations. Data that is no longer required may be deleted or anonymised.

You may request access to, correction of or deletion of your personal information by contacting Gem League administrators through the official Gem League Discord server.
Some information may be retained where necessary for legitimate league administration, security, dispute resolution, historical competition integrity or legal compliance. Gem League may ask you to verify your Discord identity before processing a request.
8. Children's privacy
The bot is intended only for users who meet Discord's minimum age requirements in their country. Gem League does not knowingly use the bot to collect information from anyone prohibited from using Discord.
9. Third-party services
The bot operates on Discord. Discord processes information according to its own privacy policy. This Privacy Policy applies only to information controlled by Gem League.

This policy may be updated when the bot, league operations or legal requirements change. The effective date above will be updated when material changes are made.
